Business email spam protection

Spam isn’t just annoying: it hides real customer emails and brings phishing and malware with it. The fix is usually not a new product, but tuning the protection your email service already has.

The short answer

Business email spam protection means tuning the filters in your email service (Google Workspace, Microsoft 365 or your host) so spam and phishing are caught while real customers, suppliers and quotes still arrive. We tune the settings, set sensible allow and block rules, handle quarantine so nothing important is lost, and fix the causes of spam that gets through.

What’s included

  • Filtering levels tuned for spam, phishing, spoofing and bulk mail in your email service.
  • Quarantine set up so suspicious messages are held, not lost, with a simple way for staff to release real ones.
  • Allow rules for important partners, done safely so they can’t be abused.
  • Block rules for repeat offenders and unwanted categories.
  • A check of your website forms, often the biggest source of spam, and protection for them if needed.
  • Staff guidance on reporting spam so the filters keep learning.

How we do it

  1. Look at what’s getting through, and what’s being wrongly caught.
  2. Tune the filters and quarantine.
  3. Add allow and block rules.
  4. Fix the sources, such as unprotected website forms or a published address.
  5. Review after two weeks and adjust.

Spam from your own website

Many businesses discover that much of their "email spam" actually comes through their own contact forms, sent from their own website, so no email filter can catch it. That part is fixed on the website instead: see contact form spam protection.

Common questions

Will tighter filtering catch real customers?

That’s the risk with turning filters up blindly. We use quarantine rather than deletion, add safe allow rules, and review after two weeks so real emails aren’t lost.

Do we need a separate spam filtering product?

Usually not for a small business. Google Workspace and Microsoft 365 have good filtering built in; it’s mostly a matter of configuration. For special cases we can recommend a dedicated service.

What about spam coming through our website?

That comes from your forms, not email, so it’s fixed on the website with form protection.
